Deactivate & Reactivate a User
User management includes the ability to disable an existing user's access without deleting them. Deactivation blocks login and revokes access, but preserves the user's data and activity history.
To preserver data integrity, a user can never be deleted, They can only be deactivated. This is because their actions in the business remain tied to some records to show who created these records ( Invoices, receipt, orders, quotation, leads etc.),
Deactivation and reactivation are restricted to users with the Administrator role. Only administrators see the action buttons.
View the user list
- Click the Settings icon in the left sidebar.
- Go to Users Settings. Here you see a list of all users
Each row shows the user's details and a live Active / Inactive status badge.
Deactivate a user
Deactivating a user takes the following actions automatically:
- The user can no longer log in.
- All roles and permissions are stripped: The user is reset to a plain Regular User.
- All entity assignments are removed: The user loses access to every entity's data and modules.
The user's account, record, and activity history are kept so they can be reactivated at any time.
- On the Users admin dashboard, find the user you want to disable (they show Active).
- Click the Deactivate action button.
- Confirm the action in the alert box.
You cannot deactivate your own account from this screen as a safeguard against locking yourself out.
The user is immediately signed out of effect, they lose login access and all module/entity access the moment you confirm.
Reactivate a user
Deactivation is not permanent. A deactivated user can be brought back and granted access again.
- On the Users admin dashboard, find the user (they now show Inactive).
- Click the Reactivate action button.
- Confirm the action in the alert box.
After confirming, you are taken to the user's edit page where you must re-grant their access:
- Assign to an entity: Reactivation does not restore entity assignments automatically.
- Reassign roles and permissions: They are reset to Regular User only, so re-tick their role checkboxes.
Until you re-assign an entity and roles, a reactivated user can log in but has no entity data or module access.
