Warehouses

A warehouse in Rexolia represents a physical storage location where your inventory is kept. Each warehouse is linked to a business branch and tracks stock independently.


Create a warehouse

  1. In the left sidebar, click the Operations Hub icon.
  2. Select WarehouseNew Warehouse.
  3. Fill in the form:

Associated Business LocationThe branch this warehouse belongs to
Warehouse CodeA short code to identify the warehouse (e.g. WH-01)
Warehouse NameA descriptive name (e.g. "Main Store", "Cold Room")
Physical AddressWhere the warehouse is located
  1. Set the warehouse status:

    • Default — used automatically when no warehouse is selected
    • Active — available for stock operations
    • Inactive — hidden from stock operations
  2. Click Create Warehouse to save.


Edit or delete a warehouse

Go to Operations Hub → Warehouse. Find the warehouse in the list and use the available actions to update its details or delete it.

Deleting a warehouse that has existing stock or reception history may affect your inventory records. Prefer marking it Inactive instead.

Warehouses and stock visibility

A warehouse is the central link between your stock and your sales channels. Your POS and online store only show products as available if those products have stock in a warehouse linked to the correct business location.

Common issues: products showing as out of stock or not Showing at all

If products appear out of stock or missing on your POS or ecommerce, but you know stock exists, check your warehouse configuration first.

The most common cause: the warehouse holding that stock is linked to a different business branch, not the one your POS or store belongs to.

This happens especially when a business has multiple locations or multiple entities. Each Business branch must have its own active warehouse assigned to it.

Checklist if stock is not showing:

  1. Go to Operations Hub → Warehouse.
  2. Confirm an Active warehouse exists for the affected business location.
  3. Confirm the warehouse is linked to the correct Associated Business Location.
  4. Check that the missing products were received into that specific warehouse, not another branch's warehouse.
