Create a Quotation
A quotation in Rexolia CRM lets you propose products and services to a registered customer with automatic tax calculation, PDF export, and direct email delivery. Quotations follow a three-step wizard: customer and details, line items, then review.
Before You Start
- The customer must be registered in CRM Centre → Customers & Prospects
- Products and services must exist in the Operations module, see Creating a New Product
- All items on a single quotation must share the same currency
Creating a Quotation
1. Open the CRM
Click the CRM centre icon in the left navigation menu.
2. Navigate to Quotes
Go to Quote and click + New Quote.
Step 1: Customer & Details
Search and select the customer. The customer must already be registered; you cannot create a customer from within the quotation form.
Then fill in the quotation details:
| Field | Required | Description |
|---|---|---|
| Title | Yes | Short label identifying this quotation |
| Description | No | Summary of what is being proposed, visible on the document |
| Internal Note | No | Private note for your team, not printed on the quotation |
| Quote Type | Yes | Standard for a regular price offer; Proposal for a detailed service proposal |
| Payment Terms | Recommended | Agreed payment conditions (e.g. 30 days net) |
| Valid Till | Recommended | Expiry date after which the quote is no longer binding |
Step 2: Products & Services
Search and add the products or services to include in the quotation. You can adjust the unit price for each line or appy discount.
You can only combine products and services registered in the same currency on a single quotation. If items appear in different currencies in your catalogue, they cannot be added to the same quote.
The service must be registered in the Operations module before it can be added to a quotation. See Creating a New Product for instructions.
Step 3: Review & Create
Review the line items, subtotals, and tax amounts before finalising.
| What to check | Detail |
|---|---|
| Prices | Confirm unit prices and quantities are correct |
| Taxes | Applied automatically based on the tax class set on each product or service |
| Total | Verify the final amount matches what was agreed with the customer |
Click Create Quotation to generate the quotation.
After Creating a Quotation
Download as PDF
Open the quotation and click Download PDF to save a formatted copy for sharing or archiving.
Send to Customer
Click Send to deliver the quotation directly to the customer as an email attachment. The customer's registered email address is used automatically.
Edit a Quotation
Click Edit in the top right of the quotation to make changes. You can update line items, prices, dates, and notes.
Important Notes
Taxes are not manually set on the quotation Tax amounts are calculated automatically from the tax class assigned to each product or service at registration. To change how tax is applied, update the product or service record in Operations.
Currency cannot be mixed All items on a quotation must use the same currency. Plan your product catalogue accordingly if you operate in multiple currencies.
Customer must exist before starting The quotation form requires a registered customer. If the customer is not yet in the system, create them first in CRM → Customers & Prospects.
Troubleshooting
Customer not found in search The customer must be registered and set to active in CRM. Inactive records do not appear in the quotation customer search.
Product or service not appearing Check that the item is created and active in the Operations module. Also verify its currency matches the other items you intend to add.
Tax not applying correctly Tax is driven by the tax class on the product or service record. Edit the product in Operations to assign or correct the tax class.
