Branch & System Configuration
This page is the index for the branch-level configuration that identifies a physical branch and governs how it issues compliant documents: its Tax Identification Number (TIN), the tax classes it applies, and the RRA / VSDC-related system parameters.
Rexolia is not yet a Certified Invoicing System (CIS). RRA has not yet granted certification, and the EBM / VSDC integration is still being worked on. Service functions tied to that integration (MRC configuration, system reset, advanced service mode) are therefore still in development and will be made available once RRA provides a VSDC sandbox for testing and certification.
Each implemented setting below links directly to the page where you actually perform it. The steps are not duplicated here. If you are looking for a specific user-facing setup task rather than this configuration index, start from the link in the relevant section.
Current Implementation Status
| Feature | Status | Where you do it |
|---|---|---|
| TIN (initial) | Available | Account creation |
| TIN (change) | Restricted / procedural | Change of business TIN |
| Tax Classes | Available | Tax configuration |
| Date & Time | Available | System settings (below) |
| MRC Configuration | Planned | Pending RRA sandbox |
| Access reset (users & passwords) | Available | Account management |
| Business entity reset | Not available | Archive & create new instead |
| Advanced Service Mode | Planned | Pending RRA sandbox |
All of the above require administrator-level access to the Rexolia system. For security and compliance reasons, these functions are only available to authorized personnel with the appropriate credentials.
TIN Configuration
The TIN (a 10-digit RRA-issued Taxpayer Identification Number) is the critical parameter that identifies a business branch to RRA (CIS Specification §7.21.1). Your TIN is not configured in this area. it is entered as part of setting up your business, as follows:
- Initial TIN setup happens when you first create your account and fill in your business information. See Getting Started → Fill in Your Business Details.
- Registering a new business / branch with a new TIN later — when you already have an account but did not create the business entity during signup (or you are adding a genuinely new, separately numbered business), register it from Settings → Add New Business. See New Business / Branch with a New TIN.
- Changing a TIN (after ownership transfer, acquisition, or business merging) is a restricted, compliance-driven procedure and is not done here. RRA requires a TIN change to accompany a business restructure rather than an in-place edit (§7.2). Follow the documented procedure in Change of Tax ID, Transfer of Ownership & Business Merging.
Why the TIN is not freely editable here: Editing a live branch's TIN in place would leave receipts issued under the old number unreconcilable with RRA and risks accidental data loss, so Rexolia restricts in-place TIN changes and routes any change through the archive-and-new-branch procedure above. If you believe the TIN on an account is wrong and the branch has never issued a receipt, contact Rexolia support instead of attempting to change it here.
Tax Configuration
Rexolia supports the four-class RRA tax structure (A, B, C, D, CIS Specification) plus country-appropriate defaults for other jurisdictions. The classes and their rates are configured through Settings → Finance Settings → % Manage Tax Classes, and products are assigned a tax class in the Operations module.
Because this is a complete user-facing workflow, it is documented in Tax Configuration, with the finance initialization that creates the default classes covered in Important Initial Setups → Set default Journal and Taxes. Refer to those pages; the steps are not repeated here. The RRA compliance behaviour. All tax rates with a value above 0% are printed on every receipt, and 0% rates only when actually used is explained there.
MRC Configuration (Planned)
The Machine Registration Code (MRC) identifies the specific Rexolia installation to RRA and is assigned during VSDC certification. It is printed on signed receipts to show which certified software produced them.
MRC configuration display, update, validation, and activation against your TIN will be available once RRA provides a VSDC sandbox environment. Until then there is nothing to configure here, and Rexolia is not yet a CIS. See the VSDC & MRC Configuration placeholder while this feature is pending sandbox access.
Access & Business Reset
There is no "factory reset" of a business entity in Rexolia. A business that has ever issued a receipt must not have its identity or history wiped, because doing so would make its past receipts unreconcilable with the tax authority and break data integrity. Instead, Rexolia separates the two kinds of reset:
- User access can be reset. Administrator accounts, user accounts, and passwords can be re-issued or re-set through the usual account-management and password-recovery flows. Resetting access never touches or deletes any business, receipt, or inventory data.
- A business entity cannot be reset once it has issued a receipt. To retire or replace a business (e.g. ownership transfer, a corrected identity, or a new TIN), Rexolia relies on archiving the existing entity and spinning up a new one rather than on wiping it. This is handled through the documented procedure in Change of Tax ID, Transfer of Ownership & Business Merging: the old entity is archived and its records retained read-only for data integrity, and the new entity starts fresh. Its receipt numbering begins again at 1 with a new interaction with VSDC.
Because archiving preserves rather than deletes, there is deliberately no system reset. Rexolia will point the updated TIN as occasioned by ownership transfer, merge or other business to VSDC as a new business user account thereby restarting receipt signing flow.
VSDC Requirement Before Sales (Rwanda)
For Rwanda-based businesses, the law requires that a taxable sale is issued only with EBM. Rexolia therefore cannot issue a compliant receipt for a Rwandan business without the VSDC signing channel. There is no "un-signed" or "offline" receipt a business can fall back to. This is a legal requirement of the Rwandan Revenue Authority, not a Rexolia choice.
Because RRA requires every receipt to be VSDC-signed before it reaches a customer, confirm VSDC (EBM) is up and running before you make a sale. A sale cannot be completed with a valid receipt if the signing service is unavailable.
The EBM communication check in Diagnostics is currently a placeholder. Under Settings → System Administration → Diagnostics, the EBM communication test is not yet wired to a real RRA system, because Rexolia is not yet a certified CIS and no VSDC sandbox has been provided. Until certification is granted, treat that diagnostic as informational only rather than evidence that EBM signing is live.
System Information and Diagnostics
These system-level tools are available now and are performed here.
System Information
- Log in as an administrator.
- Go to Settings → System Administration → System Information.
- View:
- Software version
- System status
- License information
- Hardware details
Diagnostics
- Log in as an administrator.
- Go to Settings → System Administration → Diagnostics.
- Run tests:
- Network connectivity
- EBM communication (placeholder, see note below)
- System performance
- Storage status
Network connectivity, system performance, and storage checks are real. The EBM communication test is currently a placeholder only. Rexolia is not yet a certified CIS, so there is no RRA signing channel to test against yet. See VSDC Requirement Before Sales (Rwanda).
